How to sell tickets through Callpay

At Oveit, we know how important ticket income is for your event. This is why we have integrated multiple Payment Processors for the direct debit option – each time an order is placed, money goes straight into your account.

If you want to activate Callpay as your Payment Processor, here is what you need to do:

From “Payment Methods” you can activate your Callpay Integration. The system will require your API username and password.

No worries, if you haven’t activated your API credentials. this tutorial will guide you through. It will also show you how to add your IPN URL – this helps the two systems communicate, making your life a lot easier.

Log in to your Callpay account. From the Dashboard, select API Users.

Create a new user.

Fill the fields, tick the Terms and Conditions option, and Create your new user.

Once you have created your new API user (or if you already have one), you will need to activate the Webhooks. This way Oveit and Callpay will properly communicate each time an order is confirmed, rejected, or refunded. 

In the same Dashboard, from the “Your account” option select “Settings”.

From the “Integration” dropdown, select the “Webhooks” option.

Here, you will have to fill the Payment Success Webhook, Payment Error Webhook, and Refund Web Hook fields with the following link: https://l.oveit.com/callpay/ipn and Update.

Once your settings are updated you can go back to your Oveit Dashboard/Payment Methods and activate Callpay Integration.

Great! Now you can start selling tickets and money will go straight into your account.

 

 

How to Set Up a Private, Invite-Only Ticket with Oveit

Creating exclusive, invite-only tickets is an excellent way to offer special access to VIP guests, sponsors, or select groups of attendees. Oveit makes it easy to set up and manage these private tickets, ensuring that only those with the right code or link can access them. Here’s a step-by-step guide on how to create and distribute private, invite-only tickets using Oveit.

Step 1: Set Up Your Event and Ticket Types

Begin by setting up the different types of tickets for your event. In this example, let’s assume you have three types: General Access, Sponsored Ticket, and VIP Ticket.

  • General Access Ticket: This is your standard ticket available to the general public.
  • Sponsored Ticket: This ticket is more exclusive and might include additional perks or benefits, making it more expensive than the general ticket.
  • VIP Ticket: This ticket is for your most valued guests, offering premium access and services.

Step 2: Make the Ticket Private

To create a private, invite-only ticket, you need to modify the visibility settings for the ticket type.

  • Access the Ticket Options: Go to the ticket type you want to make private (e.g., the Sponsored Ticket) and click on Options.
  • Set the Ticket as Private: In the ticket options, you’ll see an option to mark the ticket as either public or private. Select Private Invitation.
  • Create an Access Code: Enter a unique access code (e.g., “MySponsor”). This code will be required for anyone trying to view or purchase this ticket. The private ticket will not be visible to the general public without this code.

Step 3: Add Special Perks or Add-Ons

If your private ticket comes with exclusive perks or benefits, you can easily add them as add-ons.

  • Add an Add-On Package: Under the ticket options, add any special perks or packages that are part of this exclusive ticket. For example, you might include an “Amazing Sponsor Package” that offers additional benefits.

Step 4: Save and Preview Your Ticket

After setting up the private ticket and adding any necessary perks, be sure to save your changes.

  • Save the Ticket: Click Save to ensure all your settings are updated.
  • Preview the Event: Navigate to the event preview to see how the ticket will appear to your guests.

In the preview, you’ll notice that the private ticket won’t be visible unless the correct access code is entered.

Step 5: Share the Private Ticket

There are two main ways to distribute your private, invite-only ticket: via an access code or a direct link.

  • Using the Access Code: When guests visit your registration page, they can enter the access code (“MySponsor”) into a special field. Upon entering the code, the private ticket becomes visible, allowing them to purchase it.
  • Sharing a Direct Link: Oveit also generates a unique link that you can share directly with your invitees. This link bypasses the need to enter an access code manually. Simply copy the Shared Code Link provided by Oveit and send it to your guests. When they click the link, they’ll be taken directly to the private ticket page.

How to add a Terms and Conditions link that sends customers on your own Terms and Conditions page.

This option is available from the “customer forms” and the link becomes available in the first step of the registration process.

Customers forms are enabled for Step 1 -Event settings-.

The field supports HTML tags so in my example I have used:

You can use this format and simply change the link for Terms and conditions. Or, of course, use a different message, it’s your choice. Just make sure that you use the HTML <a href=”…”> tag in order to create an active link.

How to use Oveit’s built-in NFC technology for access control

If you host multiple days events in spaces that have multiple areas/halls you know that sometimes it may be difficult to verify access credential for all of your attendees. One way to do it is to use different color wristbands, but this way will be difficult to collect information on your attendees’ access preferences: what time do they arrive? when do they leave? what halls/areas were most visited?

This is why we are using our built-in NFC technology for access control. The same wristband that is used for cashless payments and engagement can be used to both verify access credentials and collect real-time access information.

How does it work?

The NFC wristband is paired to the ticket (or digital wallet, as we like to call it) and stores all the attendees’ information (including access credentials). When arriving at a checkpoint attendee simply taps the “almighty” wristband and the system check is he/she has access to that particular area of your event. It also stores the check-in information, so afterward you will be able to see the areas attendees preferred.

How to set the NFC technology for access control?

When setting up the event decide which areas are available for each ticket category. In Oveit simply add those areas as Perks for each ticket category (for example, attendees that buy tickets for General Admission category will have access to Main Area and Cafeteria). If you leave the Quantity field blank there will be no limit for claiming the Perk – meaning that attendees can enter that area as often as they want.

As you can see, access to the VIP Zone area is not included in the ticket price and it can be pre-purchased for $15. The event organizer can offer this optional addon for all ticket categories or just for a specific one.

 

 

On-site, you will need to set up check-in points to verify access credential. You can use either Android mobile phones, either tablets/laptops + NFC readers. Attendees just tap their wristbands and the system verifies access credentials and registers the check-in. The best part is that the displayed screen is 100% customizable, allowing you personalize the interaction.

How to set up a cashless payment system

There are multiple reasons to use a cashless payment system. We have mentioned the most important ones here.

And now it’s easier than ever to set up your own cashless payment system. It really is!

Oveit allows you to set up a cashless payment system that does not require any expensive hardware. All you need is NFC-ready Android smartphones, NFC tags, and an internet connection. Using our mobile app (Oveit Pay) your day-to-day smartphone will transform into a fast and secure POS.

How does the mobile cashless payment system work?

You create your event, sell tickets (or import them). Using the Oveit Pay app you scan the tickets, check them in and pair each ticket to an NFC tag (card, wristband, etc.)

Attendees are now ready to top-up credit and purchase items onsite. For them to do this you will need:

  1. Top-up points/cashiers.
  2. Vendors.

To create a top-up point you will need to first create a new user (or multiple users) with cashier credentials from your main account. To do that, from the Dashboard, select Team and hit the “Invite user” button.

When selecting the permissions make sure to check “Top up point” so that the new user will be able to top up credit for your attendees.

Enter the email address (it’s the username for your new account) and the password; the name is optional. Using the cashier access credentials log in into the Oveit Pay app. When attendees come to add credit simply tap the phone to the wristband and add the amount.

Select “Add credit”, enter the desired amount, select payment method (Cash or Card) and Confirm. Attendees are now ready to pay using the NFC wristband.

2. Vendors

To set up a store account you just need to follow the steps presented above, but make sure to select “Vendor” as a role for the user.

Using the cashier access credentials log in into the Oveit Pay app. The system will require you to enter the name and price of your products. Once you do that you can start selling products through the cashless payment system.

The process will be:

Attendees arrive at the selling point. You scan their wristbands and the list of products will open. Select the products the client wants to purchase and hit continue (p.s. if the total amount exceeds the client’s credit limit, the system will let you know by displaying “Insufficient funds” message).

After you hit “Continue” the list of products and the total amount will be displayed on the screen.

Tap the client’s wristband one more time to confirm the transaction.

 

p.s. Don’t worry if you have hundreds of users. Our system allows you to easily import them as a list.

When the event is over attendees have the option to withdraw their money from the cashless payment system (if there are any left, of course). The option is available with the cashier account. The cashier taps the phone to the attendee’s wristband, selects “Withdraw” and then taps the phone one more time to the attendee’s wristband.

Can NFC technology be used for attendee engagement?

We have talked about NFC and how much it can improve events when it is used for cashless payment systems. Today I want to talk about how it can be used for attendee engagement, to connect people at your events: brands and consumers, exhibitors and attendees, startups and investors*. At Oveit we truly appreciate all those from the event management industry because events really do a great thing: They bring people together. They unite. They help us go one step further.
We tried to make our software better for events planners. So now you can use NFC technology to collect information, and it is as simple as tapping your wristband to an NFC reader.
At Oveit a ticket is more than a ticket, it’s your client’s account. And pairing an NFC chip to this account can help your attendees engage with exhibitors by simply tapping the wristband.

How does it work?
Our feature allows the attendees to interact with the exhibitors by a simple tap of the NFC chip. Meaning that when an attendee sees something interesting for him, he can ask for more details and a follow up by simply using his/hers wristband ( NFC tag). By tapping it we will receive a personalized email from the exhibitor, also allowing the latest to collect his contact information. Simple, fast and secure.

How to set up the system for something like this? Let’s assume that you have already created an event for which you are selling tickets. If you haven’t, watch a video tutorial here.
After you create your event, you will need to create the exhibitors’ accounts. Do do this, simply send them an invitations to join your event (yes, you will still have total control over your event).

After the new user is created you will need to set it up as an exhibitor. Select “Team” from Dashboard and, from the list, select the “Create exhibitor account” for those team members that will use this great function.

After you have set it up as an exhibitor you will be able to personalize the account the account for each of your partners. By selecting “Exhibitor settings” you will be able to:
