Connecting Event Registration Data with Zapier

In this tutorial, you’ll learn how to connect your event registration data from Oveit to other systems using Zapier. This integration helps you automate tasks such as sending emails, updating CRMs, and moving data between platforms efficiently.

Overview

Zapier is a tool that enables the automation of workflows between different applications. With Oveit, you can use Zapier to automate tasks such as sending notifications about new event registrations or pushing registration data to other platforms like your CRM or email marketing tools.

Requirements:

  • An Oveit Pro of Hub plan
  • A Zapier account
  • A Gmail or other third-party email service account (for this example, we’ll use Gmail)

Step-by-Step Guide

1. Set up your Oveit account for Zapier

Ensure you have an Oveit Hub plan, as the Zapier integration is available on this plan. With this integration, you can move data from your visitors in Oveit to other systems via Zapier.

2. Log in to Zapier

If you don’t have a Zapier account yet, go to Zapier’s website and create an account. Once you’re logged in, you can start building automations, called “Zaps”.

3. Create a new Zap

  • In Zapier, click on “Create Zap”.
  • Search for Oveit in the app search field and select it.

4. Set a Trigger Event in Oveit

  • Choose the “New or Update Ticket” trigger in the Oveit app. This will trigger the Zap whenever a new visitor registers or updates their ticket.
  • For simplicity, we will focus on registration data. Select the trigger for new registrations.

5. Connect Oveit to Zapier

  • You’ll be prompted to log in to your Oveit account and allow Zapier access to your data.
  • Once connected, Zapier will pull registration data from Oveit.

6. Choose the Event to Trigger

  • After connecting your Oveit account, select the specific event for which you want to collect registration data.
  • This ensures Zapier only pulls data from the event you specify.

7. Set an Action in Zapier

  • For this tutorial, the action will be to send an email when a new registration occurs.
  • Search for Gmail in the action step (you can use other email services if preferred) and choose “Send Email”.

8. Map Registration Data to the Email

  • You will need to map the registration fields from Oveit to the email template. Common fields include:
    • Name of the registrant
    • Company/Organization
    • Event goals
    • How the registrant heard about the event

    For example:

    • Email Subject: “New Registration for Your Event”
    • Email Body: Include registrant details by pulling in dynamic fields like Name, Company, and Event Goals.

9. Test the Zap

  • Zapier allows you to test the workflow before going live. Click “Test & Continue” to see if the data flows correctly from Oveit to the email action.
  • If the test is successful, you’ll receive an email with the registration details.

10. Publish the Zap

  • Once testing is successful, click “Publish Zap” to activate it. The Zap will now run automatically every time a new registration is made in Oveit.

Advanced Options:

  • You can create more complex automations, such as pushing registration data to a CRM like Salesforce or HubSpot, or syncing the data with a marketing automation platform.
  • You can also add filters or additional actions to customize the workflow based on your needs (e.g., sending different emails based on attendee type or ticket type).

Customizing Registration Forms in Oveit

In Oveit, you can customize your registration forms to collect different kinds of data from attendees. To add or edit fields in the registration form:

  • Navigate to the Registration section of Oveit.
  • Add fields like:
    • Name
    • Company/Organization
    • Goals for attending the event
    • How did you hear about us?

You can map these fields in Zapier to perform various actions, such as sending customized emails or updating CRM records.
